The risk of suffering a fire at your commercial property is very real, with more than 140,000 of these blazes starting each year in the U.S., costing an average of $35,000. Part 1 of this article covered ways to prevent a fire from starting at your business facility. Now, read about steps you should take to minimize damage and prevent loss of life if a fire does start. This strategy is based on having and practicing plans to suppress the fire and evacuate your building’s occupants.

Make a Plan

Your primary responsibility as a business owner is to protect the lives of your employees and customers. Consulting with your local fire department will give you a head start on creating a plan to quickly put out a fire, if possible, and to safely get everyone out of your building. (Additionally, fire professionals may give you suggestions to improve your fire prevention efforts, and they can help you coordinate with neighboring businesses so that you all have improved prevention, suppression and evacuation plans.)

The foundations of your fire suppression and evacuation plan should include:

  • Working smoke detectors and fire extinguishers (and working sprinklers, if equipped).
  • A clear evacuation plan, with diagrams, alternative routes and a designated place to meet outside the building.
  • Appointing one employee to oversee your fire plan and identifying other employees to help guide people outside in an emergency.
  • Monitoring exits and stairwells to be sure they are always passable.
  • A tally of employees and visitors to your facility, as required by OSHA.
  • An emergency kit—with water, a flashlight and a mask or cloth to prevent smoke inhalation—for each employee to grab in case a fire breaks out.

Know the Plan

Your fire suppression and evacuation plan will only work if all employees are familiar with it and know how to carry it out in an often-chaotic fire situation.

  • Document the fire plan and provide it to all your employees.
  • Regularly review the plan with your employees, starting with new-hire orientation.
  • Post clear evacuation route diagrams throughout your facility.
  • Conduct fire drills at least twice a year—and don’t tell your employees in advance. The more they practice evacuating under pressure, the easier it will be to do so safely in a real emergency, when your building may be filled with smoke, flames, flashing lights and blaring alarms.

Does Your Business Have a Cold Weather Plan? (Part 1)

Snow lies on the roof of a large commercial facility A cold weather plan will help prevent winter storms and freezing temps from damaging your building and interrupting your business operation.

Cold weather poses extreme risks to your commercial property: power outages, roof damage, burst pipes and other water damage. Survive and recover from winter weather damage by making a cold weather plan for your facility and equipment. (The plan will also help your business respond to and manage any emergency event.)

Create the Plan

Develop a written plan to include actions to take:

  • Before the onset of winter
  • When a winter storm is imminent and/or damaging cold temperatures are expected
  • After a winter storm and/or prolonged cold weather

Start by considering some “what ifs,” such as:

  • What if you lose heat?
  • What if the facility is closed (weather, holidays, etc.) and extreme weather is expected?
  • What if a fire protection sprinkler pipe (or other pipe) freezes and bursts?
  • What if there are facility areas that could be susceptible to freezing?

Don’t forget to consider who will do what tasks.

  • Assign roles and responsibilities for all tasks.
  • Plan for initial and annual training.
  • Include an annual review and evaluation of the plan.

Before Winter Begins

Inspect the building

Develop a checklist to ensure:

  • Roof cover is free of cracks or blisters
  • Decking is free of rust or other signs of deterioration
  • Flashing is secured
  • There are no cracked or bent roof supports (beams, columns, joists)

Check utilities and process equipment

  • Check and repair heating systems
  • Inspect process, water, condensate and steam lines subject to freezing for proper insulation or heat tracing
  • Drain, blow out or flush lines for seasonal or idle equipment
  • Check alternate fuel supplies for operation and sufficient supply

Identify and align resources

The time to line up needed resources is before the winter season starts. You may need human and other resources, such as:

  • Emergency generator
  • Fuel supplies for fire protection equipment, processes or on-site generators
  • Snow removal services to ensure access to the property

If you’re not prepared, natural disasters—like storms, floods, earthquakes or wildfires—can cripple your small business. But with preparation and planning, you can return to normal operations sooner rather than later.

If you have followed steps 1–3 in Part 1 of this series, you’ll be ready to create a series of plans to follow when disaster strikes so that you and your employees survive the disaster, communicate effectively to your customers, retain your data and minimize costly downtime.

4. Create Your Emergency Response Plan

If a natural disaster strikes, your emergency response plan will help you spring into action without delay. In this plan, you’ll detail how you will protect employees and customers during the disaster, how to evacuate and where you will rendezvous. Decide how you will manage business operations and communications in the immediate aftermath of the disaster. Making a plan for your small business to survive a disaster will take time, thought and effort—but it will be well worth it. Start your emergency response planning by evaluating the potential for commercial damage.

1. Evaluate the Risks

Which natural disasters are most likely to hit your area: tornadoes, hurricanes, wildfires, earthquakes, floods? What’s the greatest risk? Identify the most imminent weather threat and start planning for that, then work your way down the list.
